Job Description: Project Coordinator

Position Location:  Chicago HQ

We are seeking a highly organized and detail-oriented individual to join our team as a Project Coordinator. In this role, you will work closely with our Project Management team to ensure the successful completion of projects, meeting deadlines and delivering high quality results. You will be responsible for coordinating and supporting various project tasks, while maintaining excellent communication with clients and internal teams.

Responsibilities:

Project Planning: Collaborate with project managers and stakeholders to assist in developing project plans, timelines, and budgets.
Coordination: Act as the central point of contact for project teams, facilitating effective communication and coordination throughout the project lifecycle.
Documentation: Maintain accurate and up-to-date project documentation, including meeting minutes, action items, and project status reports.
Resource Management: Coordinate the allocation of resources, including personnel, equipment, and materials, to support project needs and timelines.
Risk Management: Identify and escalate potential risks or issues that may impact project delivery, and work with stakeholders to develop effective mitigation strategies.
Quality Assurance: Monitor project deliverables to ensure they meet established quality standards and align with project objectives.
Reporting: Prepare regular progress reports for project stakeholders, highlighting key milestones, accomplishments, and upcoming tasks.
Meeting Facilitation: Schedule and facilitate project meetings, including preparing agendas, documenting discussions, and following up on action items.
Change Management: Assist in managing changes to project scope, schedule, and budget, ensuring proper documentation and clear communication with stakeholders.
Continuous Improvement: Contribute to process improvement initiatives by providing feedback and implementing best practices to enhance project management processes.

Requirements:
  • Bachelor’s degree in business administration, project management, or a related field.
  • Minimum of three (3) years proven experience working as a project coordinator or in a similar role.
  • Strong organizational skills and detail oriented.
  • Excellent communication and interpersonal skills.
  • Proficient with Microsoft Office Suite, excellent Excel skills, and experience with collaboration technologies (e.g., Microsoft Teams, SharePoint, etc.).
  • Proficiency in project management tools and software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.
  • Experience with implemented software solutions is a plus.
  • PMP or CAPM certification is desirable but not required.
