Position Summary
The Business Manager for Operations at the University of Georgia Libraries is a pivotal role within the Finance and Accounting unit of the Administrative Services Department. This professional position demands a high level of independence and proficiency in managing and coordinating various financial functions to uphold the financial integrity of the UGA Libraries. Reporting to the Head of Finance and Administration, this position oversees accounting, accounts receivable, purchasing, travel coordination, inventory, and related financial tasks. Additionally, the Business Manager may oversee student workers as needed. Operating within the policies and standards of UGA Libraries and The University of Georgia, this role requires exercising independent judgment and initiative. The Business Manager for Operations plays a critical role in ensuring the efficient financial operations of the University of Georgia Libraries, requiring a proactive individual with strong analytical, communication, and decision-making skills.
Knowledge, Skills, Abilities and/or Competencies
  • Knowledge of management principles, concepts, methods, practices, and techniques of business administration involved in matters of budgeting, personnel, purchasing, accounting, and organization.
  • Ability to produce and maintain complex statistical reports and records, using Microsoft software packages, such as Word and Excel.
  • Ability to establish and maintain effective working relationships with UGA faculty, staff and students; other UGA departments; outside vendors; and other entities.
  • Ability to remember, organize and consistently focus on a large number of details and come to appropriate conclusions.
  • Ability to identify problems, analyze information, and implement solutions.
  • Ability to efficiently multi-task, handle interruptions and meet accounting deadlines.
  • Strong organizational and time management skills with emphasis on accuracy and attention to detail.
  • Excellent verbal and written communication skills with the ability to discreetly convey confidential information

Financial Duties/Responsibilities:
  • Administers the Libraries' supplies and equipment budget of approximately $1M by purchasing supplies, contracts (i.e. service, maintenance) and equipment for Libraries departments via the University's Procurement online purchasing system, using a Libraries' purchasing card and processing payment requests.
  • Monitor and reconcile state-funded, departmental sales, restricted, and foundation accounts.
  • Perform accounting functions for various budgets, including general, grant, and restricted accounts.
  • Resolve budget issues and prepare statistical reports.
  • Prepare monthly Georgia Sales Tax Reports and handle internal departmental transactions.
  • Manage/process deposits via TouchNet and UGA Foundation Deposit Transmittal.
  • Advise faculty/staff on purchasing and payment policies and ensure compliance.

  • Review timecards, follow up on approvals, and ensure payroll accuracy.

  • Route Libraries Internal Travel Authorization for appropriate approvals.
  • Assist with travel requests and arrangements for Libraries' personnel.
  • Process vehicle requests and serve as Expense Delegate when necessary.
  • Review expense reimbursements for accuracy and compliance.
