JOB SUMMARY

Manage desk daily and to perform a variety of administrative and clerical tasks.

MINIMUM QUALIFICATIONS

A working knowledge of office practices and procedures at a level normally acquired through completion of a bachelor's degree in business administration or related field or equivalent experience

Three years' experience in providing executive level support.

* Excellent human relations and communication skills to facilitate communication across the business.

* Ability to function well in a high-paced and at times stressful environment.

* Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

* Ability to act with integrity, professionalism, and confidentiality.

* Excellent organizational skills and attention to detail.

* Excellent written and verbal communication skills.

JOB RESPONSIBILITIES

  • Provides high-level administrative support and assistance to the President and/or other senior leadership staff.
  • Performs clerical and administrative tasks including composing e-mails, letters, memos, reports, and other documents for senior staff.
  • Schedules appointments internally and externally for President, arranges business itineraries, coordinates travel arrangements and credit card reconciliation.
  • Recognizes matters needing attending during President's absence and uses initiative and judgement to see that matters requiring attention are referred to delegated authority or handled in a manner to minimize the effect of executive's absence.
  • Consults with various departments to assess and understand their needs for events, areas of discussion and consultation include event location, meeting rooms, hotel rooms, catering, signage, programs, audio/visual equipment, and other specialized requirements.
  • Manages all administrative duties and details associated with the event including financial operations, distribution of promotional materials, collection of presentation materials from speakers, and responding to inquiries.
  • Develops and maintains current lists of available venues and services, and pricing options, including but not limited to negotiating contracts for services, times, dates, and space.
  • Provides administrative support to the Director of Safety, through the development of maintenance of essential safety reporting documents and required presentations.
  • Perform additional duties as assigned.
